As the Executive Assistant to the Dean, you will be at the core of this transformative journey, playing a pivotal role in turning our vision into impactful action. This position is more than just managing tasks; it is about fostering collaboration, driving progress, and building meaningful connections to expand our reach and influence.
As we grow, we are looking for a dynamic, results-driven professional to support the Dean in day-to-day activities, while leading efforts in recruitment, enrollment, data management, project coordination, and partnership development with Colleges, Universities, Nursing Associations, and Mental Health organizations across Canada and the United States.
Your Impact
As the Executive Assistant to the Dean, you will:
- Be the Right Hand to the Dean: Manage daily activities, coordinate schedules, attend meetings, and ensure follow-through on critical initiatives.
- Champion Collaboration: Build meaningful partnerships with Colleges, Universities, Nursing Associations, and Mental Health Agencies across Canada and the U.S.
- Lead Projects to Success: Oversee and execute complex projects, ensuring milestones are met and outcomes align with the institute’s mission.
- Communicate Our Vision: Serve as the first point of contact for stakeholders, representing the Becoming Institute with professionalism and purpose.
- Empower Teams: Collaborate with departments to ensure clarity, tools, and support for success.
- Elevate Mental Health Education: Promote and support the institute’s innovative education and practice products.
Other Key Responsibilities
1. Drive Recruitment and Enrollment Success
- Partner with the marketing and sales teams to design and implement innovative recruitment strategies.
- Serve as the primary contact for prospective students, ensuring a seamless enrollment process.
- Leverage data insights to improve conversion rates and inform strategic decisions.
2. Lead Data-Driven Excellence
- Manage and maintain comprehensive records on recruitment, enrollment, and partnerships using CRM and data management tools.
- Analyze data to create actionable insights and refine processes.
- Develop detailed reports and dashboards to support organizational goals.
3. Ensure Stellar Project Management
- Oversee cross-functional projects related to recruitment campaigns, enrollment strategies, and partnerships.
- Coordinate timelines, deliverables, and communications to ensure flawless execution.
- Provide strategic support to align all projects with organizational priorities.
4. Build and Sustain Strategic Partnerships
- Identify, engage, and cultivate relationships with key stakeholders in educational and mental health sectors.
- Schedule and support meetings, prepare materials, and follow through on partnership deliverables.
- Collaborate with the Dean to formalize partnerships and maintain trust through ongoing communication.
5. Deliver Administrative Excellence
- Manage the Dean’s calendar, communications, and meeting preparations to maximize efficiency.
- Prepare briefing materials and provide direct support for presentations, events, and high-level meetings.
- Act as the central liaison for internal teams and external stakeholders to ensure seamless coordination.
What You Bring
Education & Experience
- Bachelor’s degree in Business Administration, Project Management, Public Health, or a related field (or equivalent experience).
- Minimum of 3 years in executive support, project management, or partnership-building roles.
Skills & Expertise
- Proven experience in executive-level support and project coordination.
- Knowledge of health organizations, mental health promotion, or education sectors is highly desirable.
- Advanced proficiency with CRM systems, project management tools, and virtual collaboration platforms (e.g., Slack, Google Workspace,Brightspace, Media Handling and Zoom).
